Position Summary:

The Donor Relations Assistant provides administrative support for the donation process including copying gift logs, entering gifts into computer database, preparation of acknowledgment letters, and family notification cards. The Assistant assists with the production of appeals and other specialized mailings, and trains volunteers for assistance with family notification cards.

Duties and Responsibilities:

  • Manages the gift acknowledgment process to ensure timely and accurate donor recognition.
  • Processes and tracks matching gift forms to confirm receipt and proper acknowledgment.
  • Researches and corrects addresses for returned mail, re-mails correspondence, and updates the Raiser’s Edge database with accurate information.
  • Tracks and processes workplace giving donations and related correspondence.
  • Trains volunteers and staff on the memorial acknowledgment process, including memorial cards and donor lists, and supervises to ensure accuracy and timeliness.
  • Ensures all data entered into Raiser’s Edge follows established protocols.
  • Processes and enters gifts and donor information accurately and in a timely manner.
  • Prepares acknowledgment letters for signature with careful attention to detail and accuracy.
  • Updates department policies and procedures related to areas of responsibility.
  • Inputs next-of-kin information into Raiser’s Edge.
  • Responds to donor questions and requests via telephone, letter, or e-mail.
  • Drafts and prepares personalized donor thank-you letters for signature.
  • Assists with generating accurate queries and reports to determine counts and lists for appeals.
  • Generates, edits, and produces the monthly 6-month appeal.

Minimum Qualifications:

  • High school diploma or equivalent required.
  • Two or more years of experience as a data entry specialist or working with donors, boards, or volunteers. Prior fundraising office experience highly desirable.
  • Demonstrated competency of Microsoft Office products (including Word, Excel, and PowerPoint) and data programs
  • Proficiency in Blackbaud’s Raiser’s Edge highly desirable with ability to extract and analyze data.
  • Proficiency in mail merge technology.
  • Demonstrated attention to detail, accuracy, problem solving, and excellent organizational skills required.
  • Strong verbal and written communications skills and outstanding proofreading and editing skills required.
  • Excellent customer service skills.
