Position Summary:
The Human Resources Assistant supports the day-to-day operations of the Human Resources department. This role is responsible for supporting HR policies and programs across the employee lifecycle, including recruitment, onboarding, benefits administration, performance management, compliance, and HR reporting. The HR Assistant partners with leadership to promote a positive, compliant, and mission-driven workplace culture.
Duties and Responsibilities:
- Assist with posting job openings and tracking applicants
- Schedule interviews and coordinate communication with candidates
- Prepare offer letters and onboarding materials
- Coordinate background checks, reference checks, and pre-employment screenings
- Facilitate new hire orientation logistics
- Ensure completion of I-9 documentation and employment verification
- Respond to general employee questions regarding policies and procedures
- Route employee concerns to appropriate HR leadership
- Support performance review tracking and documentation
- Support engagement and retention initiatives
- Support benefits enrollment and changes
- Respond to routine employee benefit inquiries
- Assist with open enrollment processes
- Process status changes (hires, terminations, transfers, rate changes)
- Coordinate payroll changes with Finance/Payroll
- Maintain accurate and confidential personnel files and HRIS records
- Support audits and reporting requirements
- Support compliance with federal, state, and local employment laws
- Assist with EEO reporting and other required filings
- Maintain required labor law postings
- Prepare HR reports as requested
- Support performance review processes
- Track licensure, certifications, and mandatory training requirements
- Support leadership development and staff training initiatives
- Maintain HR metrics and prepare reports
- Support workforce planning and organizational development efforts
- Participate in special projects and quality improvement initiatives
- Track leave requests and maintain related documentation
- Provide administrative support for FMLA, workers’ compensation, and other leave programs
Minimum Qualifications:
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred
- 3–5 years of related experience
- Experience in healthcare or nonprofit environment preferred
- Ability to handle confidential information with discretion
- Excellent interpersonal, communication, and organizational skills
- Strong problem-solving and conflict-resolution skills
- Proficiency in Microsoft Office
- Some experience with HRIS systems preferred
