Position Summary:
The Receptionist serves as the first point of contact for the organization, providing professional, courteous, and efficient support to staff, visitors, and vendors. This role manages communication, administrative tasks, and facilities coordination to ensure smooth day-to-day operations.
Duties and Responsibilities:
- Logs into the Automatic Call Distribution (ACD) system at the start of the shift and maintains available status.
- *Answers calls promptly and courteously, demonstrating professionalism and adherence to agency policies.
- *Sends 8×8 text messages to appropriate clinical teams as needed; logs messages and follows up on unresolved items with second and third attempts.
- *Monitors call queue and retrieves calls promptly to ensure timely response.
- *Provides exceptional hospitality to all visitors, notifying appropriate staff of arrivals and distributing relevant materials.
- *Transfers phone lines to the answering service daily at 5:00 pm, verifies the transfer, and retrieves lines/messages by 8:30 am.
- *Maintains the postage machine, adding postage as needed, and applies postage to outgoing mail.
- *Contacts building services for cleaning or repair needs and ensures reception area remains neat and orderly.
- *Unloads the dishwasher in the morning; runs the dishwasher and tidies the kitchen in the evening.
- *Sorts and distributes incoming mail, faxes, and e-faxes.
- *Logs contribution checks, PMC checks, and hospice payments.
- *Completes various administrative projects as requested, including booking conference rooms and coordinating office logistics.
Minimum Qualifications:
- High school diploma or equivalent required.
- Two years of clerical experience required. Experience answering multi-line phone preferred.
- Word processing experience, preferably Microsoft Word required.
- Excellent communication/verbal skills. Must be able to converse clearly on telephone.
- Ability to maintain composure, professionalism, and effectiveness in stressful situations.
- Ability to handle multiple tasks efficiently.
- Timeliness and regular attendance critical.
