Position Summary
Provides administrative support for Volunteer Services Department in support of MONTGOMERY HOSPICE INC.’s mission, vision, and values and in accordance with CHAP and other regulatory requirements. Assists with effective recruitment, placement, and onboarding/training of volunteers. Also supports volunteer engagement, communication, and retention. This role also supports the hours tracking and documentation activities for compliance purposes.
Duties and Responsibilities
- Assists in the recruitment, screening, selection, and training of volunteers.
- Recruits and engages volunteers by building and maintaining relationships with local businesses, community centers, and places of worship; delivers presentations to promote volunteer opportunities and strengthen community partnerships.
- Conducts interviews with volunteer applicants prior to training and evaluates their suitability to determine whether to proceed with onboarding.
- Coordinates volunteer application processing, interviews, references, background checks, health documentation, and other onboarding requirements. Assists with preparation for training, including materials, supplies, binders, schedules, and room set-up/take-down.
- Assists in giving training presentations.
- Maintains records to ensure department meets compliance requirements.
- Monitors volunteer files and updates records to ensure accurate status tracking; assists with file and chart audits.
- Maintains and updates Volunteer Assignment List on a daily basis so that it reflects current volunteer assignments at all times.
- Creates Volunteer Visit Frequencies within EMR system to reflect needs of patients and loved ones.
- Enters Volunteer IDG Narratives prior to each IDG meeting.
- Maintains and updates database of all volunteers.
- Reviews Contact Notes from volunteers for accuracy and submits them in a timely manner for billing purposes.
- Ensures volunteer information and hours are accurate and updated in tracking database.
- Assists with training and ensures volunteers are updated and complete all required training.
- Assists with assignment of volunteers to meet the needs of the agency, patients, and families.
- Collaborates with patients and families to assess and/or confirm specific patient care needs within 7 to 10 days of admission, as necessary.
- Assigns volunteers as quickly as possible and documents patient care assignments in the patient charts and on Volunteer Assignment List.
- Notifies team members of volunteer patient care assignment(s) at each IDG.
- Actively supports volunteers through recognition and responsiveness to needs.
- Responds to volunteers’ requests, questions, and concerns, and escalates as needed.
- Assists with facilitating conversations between departments and volunteers regarding assignments, role clarification, and performance.
- Assists with the production of the volunteer newsletter and other communications.
- Assists with planning and coordination of volunteer recognition activities.
- Assists with overall department needs.
- Responds to phone calls regarding volunteer opportunities.
- Encourages utilization of volunteers within the organization by working effectively with all departments and disciplines.
- Assists with preparation for volunteer in-services including materials, supplies, and room set-up/take-down.
- Provides overall administrative and clerical support as needed.
- Attends IDG as delegated by the Volunteer Manager.
- Contributes to a productive and healthy team culture.

Minimum Qualifications
- High School Diploma or equivalent required. College degree preferred.
- Two years of previous administrative support, preferably in a healthcare environment. Previous related experience in a volunteer setting is preferred.
- Proficiency in Microsoft Office required. Experience with database management and tools such as JotForm and SignUpGenius preferred.
- Must have excellent organizational and interpersonal skills, including the ability to communicate with empathy by phone, text, email, and in person.
- Must be able to work independently and proactively, with strong attention to detail.
- Valid driver’s license, reliable transportation, and ability to travel throughout the service area required.
- Ability to read, write, and communicate effectively, including familiarity with clinical information.
